Voice notes as a business record: keeping what was agreed

Across much of Asia, deals are agreed in voice notes. When someone later says "I never said that", a written, dated record of the note is what settles it.

Traders, site managers, agencies and suppliers run on WhatsApp voice notes. A price gets confirmed on the way to a meeting. A delivery date gets moved in a forty second note. It is fast, and it works, until someone remembers it differently.

Then the question is simple: what did they actually say, and when?

Why the voice note alone is not enough

  • It is hard to find. Nobody can search audio, so the note is lost among hundreds of others.
  • It is easy to lose. Chats get deleted, phones get replaced, people leave the company.
  • It is not shareable. You cannot paste a voice note into a contract file or an email thread to the other side.

What a good record needs

  1. The exact words, transcribed in full, in the language they were spoken.
  2. Who said it and when, taken from the chat, not typed in later.
  3. Proof it has not been changed. A fingerprint of the audio and the text, made when the note arrived, so anyone can check later that neither was edited.
  4. An export you can hand to a colleague, an accountant or a lawyer.

How InkSaid Business does it

InkSaid transcribes every note on your own Mac, so the conversation never sits on someone else's server. On Business it adds the record:

  • every transcript timestamped and fingerprinted when it arrives
  • who said it, by contact, across WhatsApp, Signal and Telegram
  • a shared inbox so a team works from one record of a company number
  • export of any note or conversation, with its fingerprint
  • admin controls, a deletion log and a data processing agreement

The record is rolling out to founding members first.

A word of caution

A transcript is software, and software can mishear. Always check anything important against the original audio. Whether a voice note or its transcript can be used in a dispute depends on where you are and the rules that apply, including laws on recording conversations. This guide is general information, not legal advice.
