How to transcribe WhatsApp voice notes on Mac and iPhone

Someone sends you a four minute voice note while you are in a meeting. Here is how to read it instead, without handing the audio to a stranger's server.

Voice notes are quick to send and slow to receive. You cannot skim them, search them or forward the one line that matters. Turning them into text fixes all of that. There are three ways to do it, and they differ most in where your audio goes.

Option 1: WhatsApp's own transcripts

WhatsApp added voice message transcripts in November 2024. Turn them on in Settings, Chats, Voice message transcripts, choose your language, then long press a voice note and tap Transcribe.

WhatsApp says the transcript is made on your phone, so nobody else hears the audio. That is a good default. The limits are practical ones:

  • It works one note at a time, inside WhatsApp only.
  • It supports a set list of languages, and you pick one in advance.
  • The text stays in the chat. You cannot keep a running record per person, search across notes or pull out what was agreed.

If you only get the odd note in one language, this is enough.

Option 2: an upload service

Many websites will transcribe an audio file you upload. They are fast and often accurate, but your audio is sent to their servers, and their terms decide how long it stays there and who can use it. For a note from your partner about dinner, that may be fine. For a note from a client, a supplier or a lawyer, it usually is not.

Option 3: transcribe on your own Mac with InkSaid

InkSaid runs a speech engine on your Mac's own chip. The audio never leaves the computer, and the copy is deleted the moment the words appear.

On a Mac:

  1. In WhatsApp, open the chat and save the voice note. It lands in your Downloads folder.
  2. That is it. InkSaid watches Downloads and picks the note up on its own. You can also drag files onto the window, several at once.
  3. The words appear in a few seconds, with the length and language on the card.
  4. Copy the transcript, or copy it with a reply prompt to paste into Claude.

On an iPhone:

  1. Hold the voice note in WhatsApp and tap Share.
  2. Tap InkSaid.
  3. On the same wifi as your Mac, the note goes straight to it and the words come back to your phone.
  4. Anywhere else, the note travels through your own iCloud Drive to your Mac, and the words wait for you in Files, InkSaid, Words. You can switch this off and keep every note on your own wifi.

Tips for better transcripts

  • Teach it names. If InkSaid keeps spelling a person or company wrong, add it to the word list once, in the form Right spelling = wrong spelling.
  • Drop the original after. InkSaid can delete the file from Downloads once it is transcribed, so voice notes do not pile up on your Mac.
  • Long notes are fine. A three minute note takes about thirty seconds on a recent Mac.
